Church media volunteer workflow from Sunday to Friday
A Sunday-to-Friday runbook for church media volunteers: import, clip, review, and schedule in the tools you already use.
This church media volunteer workflow runs from Sunday to Friday without guessing.
If you are new to church media, you do not need a theory class.
You need a runbook. Sunday to Friday. Same steps each week. This page is that runbook.
You will import the sermon, pick moments, add captions, review for meaning, export, and schedule posts in the tools your church already uses. Keep the pastor’s point intact. Ask for help when a cut feels risky.
Role boundaries (read this once)
You own:
- Finding the file after handoff.
- Picking clip candidates.
- Captions and basic brand (logo, colors your team already set).
- Running the review checklist before export.
- Exporting finals and handing them to whoever posts (or posting if that is your role).
You do not own:
- Rewriting the sermon’s theology.
- Posting sensitive cuts without a reviewer.
- Inventing a second weekly theme.
- Being on call for every last-minute graphic request outside this workflow.
If something is unclear, ask the pastor or media lead. Silence creates bad cuts.
Sunday: capture handoff
Goal: you can open the file on Monday without hunting.
- Confirm the recording landed in the shared folder.
- Check the file name includes date and sermon title.
- Read the handoff note for must-keep and do-not-clip lines.
- Reply with a short “got it” so the pastor knows the handoff worked.
If the handoff is incomplete, use the pastor to media volunteer handoff checklist and ask for the missing pieces before you invent them. Time box: 10 minutes.
Monday: clip pick
Goal: a short list of moments, not finished videos.
- Import the sermon file into your editor or into VelaClip.
- Skim the transcript or notes for moments that stand alone.
- Flag 3 to 5 candidates. Write a one-line hook for each.
- Cross out anything on the do-not-clip list.
- Stop. Do not render everything on Monday unless you have extra time.
What makes a strong moment:
- One clear teaching point.
- A short story with a clean ending.
- A pastoral invitation that still makes sense alone.
- A verse explained in context.
Weak moments:
- Inside jokes that need the room.
- Long setup with no payoff in under 90 seconds.
- Lines that change meaning if you lose the sentence before them.
Time box: 30 to 45 minutes. For deeper clip craft, see how to make sermon clips for church social media.
Tuesday: captions
Goal: draft clip one with readable captions.
- Choose the strongest Monday candidate.
- Trim to a complete thought (often 30 to 90 seconds).
- Add captions. Keep lines short. Check names and verse numbers.
- Add a simple hook line at the start if your template uses one.
- Save a draft. Do not publish yet.
Caption habits that save Wednesday:
- Match what was said.
- Fix homophones before review.
- Keep captions off the face.
- Test on a phone screen, not only on a laptop.
Use the captions and filming checklist when audio or framing fights you. Time box: 45 to 60 minutes.
Wednesday: review
Goal: pass/fail before anything goes public.
- Run the meaning checklist: context, negations, verse, invitation.
- Run audio and visual checks on a phone.
- Send the short list to your reviewer if that is your church’s rule.
- Fix what is fixable. Kill what is not.
- Export only the clips that pass.
Human review before export is non-negotiable. AI suggestions are a draft. Ministry keeps final say. Full checklist: how to review sermon clips before you post. Time box: 20 to 40 minutes.
Thursday: schedule
Goal: finals land in your normal posting tools.
- Export the approved clip(s).
- Write a short post caption that leads with the hook, not a full sermon summary.
- Schedule or queue in the apps or scheduler your church already uses.
- Note the publish time in your team calendar.
VelaClip helps you prepare and export. It does not replace your church’s posting tools. You still schedule where you already schedule. If Wednesday’s still post (quote or carousel) is part of your week, publish that on Wednesday and keep Thursday for the second clip. See the church social media calendar from one sermon. Time box: 20 to 30 minutes.
Friday: check
Goal: no surprises before the weekend.
- Confirm scheduled posts are still in the queue.
- Spot-check links, service times, and campus names.
- Glance at comments on earlier posts if that is your role.
- File this week’s exports in the archive folder.
- Send a one-line status to your lead: what posted, what waited.
Time box: 15 minutes.

When you feel stuck
- File missing: Ping the handoff owner once, then wait. Do not scrape a low-quality phone video unless leadership asks.
- Too many moments: Ship three clean posts.
- Reviewer late: Delay the post. Do not guess on sensitive cuts.
- Time ran out: Protect Tuesday clip + Friday invite. Drop the extras.
